This policy describes the information handled through the Palm Capital Ventures (PCV) Agent Connections landing page, inquiry form, document uploads, and related appointment scheduling. It applies to agents.palmcapitalventures.com and the hosting addresses for this agent intake service.
Information we collect
- Contact and inquiry details: your full name, email address, phone number, and description of the situation or introduction.
- Optional property information: a property address, Zillow link, and documents you choose to upload, such as mortgage statements, seller disclosures, or property photos.
- Scheduling and follow-up: appointment details and records of communications about your inquiry.
- Technical information: the page URL, referring page, campaign parameters, submission time, and information used to operate and protect the service. Our hosting providers may process IP addresses and request logs; the form also uses derived identifiers to limit abusive submissions.
Documents and property details are optional. Only provide information you are authorized to share. Remove Social Security numbers, full financial account numbers, passwords, and unrelated personal information before uploading.
How we use information
We use information to review your inquiry, assess the situation you describe, respond to you, coordinate phone calls, maintain inquiry records, and protect the service against misuse. Submitting the form does not enroll you in an automated marketing campaign through this intake.
Who receives information
Your inquiry is available to the PCV team, including Gordon and Alandra, and to service providers used to operate this service. These include HighLevel for contact records, uploaded documents, inquiry tracking, internal notifications, and scheduling, and Vercel for website hosting and document storage. This intake does not publish your submission or sell it through the form.
Information may also be disclosed when required by applicable law or a valid legal process, or as reasonably necessary to protect the service and the rights or safety of others.
Document access and security
Uploaded documents are stored with our service providers and attached to the agent's HighLevel contact record and, when supplied, the associated property's record so the PCV team can review them. PCV inquiry notes also contain restricted download links that generally expire 90 days after submission. This expiration does not apply to the copies stored in HighLevel. Anyone who has a valid document download link may be able to access that document, so those links should not be forwarded publicly.
We use access controls and other safeguards, but no internet transmission or storage system can be guaranteed completely secure. Please limit uploads to the information needed for your inquiry.
Retention and your choices
This intake does not automatically delete inquiry records or uploaded documents. Expiration of a download link does not delete the underlying file. You can ask us to correct or delete information, stop further follow-up, or explain how a submission has been handled by emailing office@palmcapitalventures.com.
We may need to verify the requester's identity and authority before acting on a request, especially for documents involving another person. Applicable legal obligations and recordkeeping needs may limit what can be removed. Please do not include sensitive documents in an initial privacy-request email.
Cookies, attribution, and other services
The landing page does not include advertising pixels. It records referral and campaign information included with your visit to help identify the source of an inquiry. A booking page or other linked service may use its own cookies and technologies. Third-party websites, including Zillow and scheduling services, have their own privacy practices.
Intended audience and updates
This service is intended for adults making professional real estate inquiries, not children. Contact us if you believe a child has submitted personal information.
We may update this policy as the service changes. The effective date above identifies the current version. This policy does not authorize an undisclosed new use of previously submitted information.
